Terrapin Base members,
Freedom Base and Garrison Tyranus have been invited to be at Wolf Trap for the Music of John Williams performed by the National Symphony Orchestra on July 7th 2012.
We would love to have a large contingent of Rebels there since the local 501st already has about 20 people planning to attend.

If you read below there are a couple of times where they are going to have us up on stage.
Imperial March
Throne Room/End Credits
Cantina Band Music

The NSO conductor has asked us to do a "mock" Medal of Yavin Ceremony up on stage while the Throne Room Music is playing and we are thinking about turning the tables on Luke and Han and giving Chewie the medal this time.....just for fun.
We would love to have some pilots and Fleet Troopers to flank the main characters but we would welcome all Terrapin Base members

Here is the link if you would like to sign up and if you dont mind posting what costume you would be wearing so that we dont end up with all Jedi and such.
We currently have a Han, Luke and Chewie as well as an ANH Leia(non Ceremonial).
Myself and Rick will most likely do RFT and Pilot since there was a ton of them flanking the ceremony.

Looking forward to seeing some of our DC and Maryland brethern

WHAT: National Symphony Orchestra Concert tribute to “The Music of John Williams”

WHEN: Saturday, July 7, 2012

ARRIVAL TIME:
a. 4:00 for garrison/legion officers, etc (501st, RL, R2D2 Builders, officers and coordinators) to attend rehearsal, set up, make decisions, get/give directions and get in costume, etc.
b. NO LATER THAN 6:00 PM for everyone else. Since the gates open at 6:45 (and people line up WAY ahead of this to get good lawn seats), and we want to have troops greeting patrons as they arrive and enter the Filene Center area, we should have folks arrive early. (plus they are more likely to get a better parking spot if they come early)
(Arrive no later than 6:00PM, 4:00 for Officers, Command Staff, etc.)

CONCERT TIMES: Concert runs from 8:15 until 10:15PM

LOCATION: Wolftrap Center for the Performing Arts (Filene Center stage), in Vienna, Virginia
http://www.wolftrap.org/Plan_Your_Visit/Directions_and_Map.aspx

WHO: The National Symphony Orchestra, Maestro Steven Reineke conducting
http://www.wolftrap.org/Home/Find_Performances_and_Events/Performance/12Filene/0707show12.aspx

>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>

OUR MISSION: (As of 06/08/2012: - subject to change)

*** PLEASE PREPARE TO BE FLEXIBLE and ready to accommodate last-minute changes.***

a. Meet and greet (pose for photos, etc.) Wolf Trap patrons before and after the show
b. Limited On Stage time: Selected MOVIE characters have been asked to participate -on stage- during three (3) of the six (6) Star Wars musical pieces they will be performing. (more details below)

**IMPORTANT NOTE: It is imperative that everyone be aware that NOT EVERYONE MAY GET TO BE ON STAGE. What characters will be on stage, when, and doing what, will be determined by the conductor _likely on the day of the concert itself_. If we get any say at all in this, priority should be given to those who did not troop on stage at the 2009 Wolf Trap troop, or the 2007 Kennedy Center events.

MISSION DETAILS:
ALL OF THE STAR WARS MUSIC will be after intermission, and performed in a “suite” format.
After intermission:
The Suite of Star Wars music they will be playing is:

1) Main Title (Star Wars)
2) The Imperial March
3) Across the Stars
4) Duel of the Fates
5) Throne Room/End Title
6) Encore: Cantina Band

>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>

SELECT CHARACTERS ON STAGE:
We have been asked to have –specific- characters on stage for a SHORT time at three different musical numbers (more specifics will be given to us that day):
a. IMPERIAL MARCH (Darth Vader, Stormtroopers, Tie Pilots, IC’s and officers, up to 15 total)
• We’ve been asked to have Darth Vader make a “Grand Entrance,” escorted by stormtroopers, officers, IC’s Tie Pilots, and other 501st Legion “Imperial”Costumes. NOTE: THERE WILL BE –NO- FORCE CHOKE THIS TIME… but the conductor would like Vader to make some ‘grand gesture” TBD while on stage, before departing..
b. THRONE ROOM / END TITLE (Luke, Leia, Han Chewbacca, Rebels, Jedis, up to 15 total)
• We’ve been asked to have Luke, Leia, Han, Chewie, Rebels, Jedi and other Rebel Legion Costumes involved onstage doing some type of activity resembling the awards ceremony at the end of A New Hope.
c. ENCORE: Cantina Band Theme (Both Groups) (up to 30 characters total)
• We’ve been asked to have about 30 Characters (from both groups) onstage for the finale to “celebrate” by tastefully “dancing” to during the cantina band theme encore (the same as we have done in previous NSO appearances.) This is definitely one of the most fun parts of the performance for all!

>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>

*REHEARSAL*:
For Garrison/Legion officers, group leaders, droid handlers, and those with movie costumes who can attend that early, the NSO has asked that we attend the rehearsal if possible. It is being held at approximately 4:00 PM that day (7/7/12) at Wolf Trap. Please RSVP via PM to Jim Miller (DarthMiller) 703-966-7609 if you plan to attend the rehearsal. Our on stage rehearsal portion will likely occur after the break at about 4:30PM, and the conductor will want to see as many of us as possible there (out of costume) to “block” what we will be doing.

PARKING: Parking is free at Wolf Trap. Jim Miller will have (only) 2 staff parking passes for the staff lot (behind the Filene Center) for loading and unloading of bulky gear crates, wookies, droids, etc. Please contact Jim 703-966-7609 as early as possible if your group needs one of these.

DRESSING ROOMS / WATER : They have 2 LARGE dressing rooms reserved for us, and are ready to accommodate our 40+ people. Water and will be provided, and we can store our crates, etc. in those dressing rooms during the concert.

WEAPONS PROPS: (TBA) In 2009, blasters and light sabers were permitted by Wolf Trap and the US Park Police. Jim Miller will contact the park police to verify this for July 7, 2012. Either way, we are asked to please go easy around children, so as not to scare them.

DIRECTIONS / PROGRAM and MAP: is attached to this post below. Or you can email me at jimmillersemail@gmail.com and I’ll send you one if I have time.

SQUIRES PLEASE READ THIS!!
Whomever wants to squire, please Contact DarthMiller (Jim) via pone or email by 5:00 PM on Friday, June 29th, 2012 so that we can put your name on the list! Otherwise you won’t be able to get backstage or in the dressing room with everyone. –AND WE REALLY NEED YOUR HELP!--

CAMERAS. Please bring them. We want to take good pictures of our participation in this event.

QUESTIONS should be directed to Jim Miller (DarthMiller) at 703-966-7609

SEE YOU ON JULY 7th!!!!!!!!!!!

Cool, thanks for the invite Joel. We have a Cystic Fibrosis Walk early that morning, but it will be over long before we have to be at this. So if folks want to do both, you'll even have time to go home and grab a nap before heading to this.

Its going to be a fun time!

Thanks for posting this Joel!

You are all awesome! :-)

Could you please send me a full list of who is attending with full real name, and costume information)?

For whatever reason, I can't see the Freedom base forum on this event, and I get an error when trying to access your link to the posting above. It says "The topic or post you requested does not exist"

(maybe I've been a bad trooper and got removed from seeing the event posts?) ;-)

Thanks a million for all you help on this!

Rachel,

Thanks!
I am not able to do much about a carpool, (hopefully others can), as I will be there very early.

But have you found a ride, and are you able to join us?

Thanks anyway Rachel!

FOlks, a final update is coming soon.

Thanks to all of you who plan to attend!

"It will be a day long remembered!"
(and will be a lot of fun!)

Heads up though,
forecast is for the 90's, humid, and 30% chance or better of a tyypical DC late afternoon Thuderstorm.

Lightsaber umbrellas anyone?

Is there anyone in Terrapin base that does an ANH Luke Skywalker? Either Farmboy or Ceremonial Luke?

We are doing a Medal Of Yavin ceremony at the Troop and unfortunately our ANH Luke is unable to attend.
Anyone that can help would be greatly appreciated.

thanks

Hi friends,

I am back online. I finally have electricity after nearly 48 hrs, (and I have internet/phone it seems too - bonus!)

Scott, can you please call me? 703-966-7609 We will take perfect care of you (pls see below)

ANH Luke isue:
I will be there in my (soon to be re-submitted) finished ROTJ Luke... I know is not ANH, but maybe I can sub for ANH Luke in a pinch?

Also, just got a call from the NSO, and they want as many people there between 2:30 and 3:00pm for the rehearsal...
I am trying to get ahold of them now... I do not think EVERYONE needs to be there for the rehearsal.

But it would be great if everyone that can make it (and has a movie costume for one of the onstage portions mentioned) arrive by 3:00PM.

Heat and your safety:
I completely understand the heat issue, and never want -anyone- to risk their health, safety or heat exhaustion / heatstroke for a concert.
It's totally fine with me if anyone drops out doe to this extreme weather. Your health and safety absolutely come first!

However, please also note that the temps these past few days at 9:00PM (roughly the time we'd be on stage...possibly later)
have "dropped down" consistently to about mid to upper 80's. Still not great by any means...

....but please also try to factor in the combination of no sunlight and slightly lower temps when we'll be onstage. It will be better than during the day... Please access your health situation and your risk/comfort level, and make the best decision for you and you! We are ok with it.

Chewie's appearance...
Subject to the approval by the RL command Staff and Scott himself:
My idea would be for Chewie to only make an appearance during the "Throne Room/End title" piece, (which is the last piece before the "encore")for just a few minutes as possible. (whatever Scott can tolerate comfortably).

Only the cooler costumes temp-wise should even -consider- doing the meet n greet, or being outside for any length of time... and even then with a mandatory handler who will "pull" you after a very short time period out in that heat!

FUll update coming in the next few hours.

Below are complete details for the Wolf Trap "Music of John Williams" troop for Saturday, July 7th, 2012.

Print it out and take it with you the day of the event.

Note the *NEW* information highlighted below in Blue

>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>
Updated on 07/6/2012 9:51AM
>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>

>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>

IMPORTANT NOTE:
**HEAT ADVISORY!**

**EVERYONE MUST READ THIS PART!**

RULE # 1: -YOU- are the most important person at this event. Take care of yourself as first priority.
No one is required to do -any- part of this troop, if they aren't completely comfortable doing it.

The daytime high forecast temperature is set at 104 degrees Fahrenheit.
The evening temperature during the onstage portion may still be in the 90's. THIS IS A DANGEROUS LEVEL OF HEAT for everyone, even those in excellent physical condition. Please plan accordingly. EVERYONE IS RESPONSIBLE FOR ASSESSING THEIR OWN HEALTH CONDITION, AND MUST CONTINUE TO DO SO CONSTANTLY DURING THE ENTIRE EVENT.

THE MEET N GREET IS COMPLETELY NON-ESSENTIAL. We don't need to do it.
...However, anyone still choosing to do the Meet N Greet will be limited to no more than 20-30 minutes out in the sun max each time, costumed or not. Handlers will pull you at that time OR SOONER if you request it. NO ONE GOES OUT WITHOUT A HANDLER/SQUIRE.

Please remember that we are only volunteers and hat your health and well-being absolutely come first before any other considerations. Bar None.

Bottom line: You are first priority.
ANY time you don’t feel well, (even on stage!), --STOP.-- Take the bucket Off, and immediately get back to the air conditioning and water fast. (Or the Wolf Trap First Aid Station if that is closer) Heat related illness progresses quickly. WE DO NOT WANT ANYONE GETTING HEAT EXHAUSTION, HEAT STROKE or Worse. Please learn the signs and symptoms of heat related illness before hand, http://www.cdc.gov/nceh/extremeheat/warning.html and constantly monitor how you are feeling. http://www.bt.cdc.gov/disasters/extremeheat/heattips.asp

GIVEN THIS HEAT, NO ONE SHOULD EVER ATTEMPT TO ‘PUSH IT’ AT THIS EVENT by trying to stay outside longer than you can tolerate comfortably. It is not worth it. If you can't do this... please do not troop this event.

We will be downstairs in the dressing rooms.

a. 100% OPTIONAL: brief 'meet and greet' (pose for photos, etc.) Wolf Trap patrons before the show

b. Limited On Stage time: Selected MOVIE characters have been asked to participate -on stage- during three (3) of the six (6) Star Wars musical pieces they will be performing. (details below)

**IMPORTANT NOTE: It is imperative that everyone be aware that NOT EVERYONE MAY GET TO BE ON STAGE. What characters will be on stage, when, and doing what, will be determined by the conductor _likely on the day of the concert itself_. If we get any say at all in this, priority should be given to those who did not troop on stage at the 2009 Wolf Trap event, or the 2007 Kennedy Center events.

MISSION DETAILS:
ALL OF THE STAR WARS MUSIC will be after intermission, and performed in a “suite” format.
After intermission:
The Suite of Star Wars music they will be playing is:

2) The Imperial March
3) Across the Stars
4) Duel of the Fates
5) Throne Room/End Title
6) Encore: Cantina Band

>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>

SELECTED CHARACTERS ON STAGE:

We have been asked to have specific characters on stage for a short time at three different musical numbers (more specifics will be given to us that day at rehearsal):

a. IMPERIAL MARCH (Darth Vader, Stormtroopers, Tie Pilots, IC’s and officers, up to about 15 total)
• We’ve been asked to have Darth Vader make a “Grand Entrance,” escorted by stormtroopers, officers, IC’s Tie Pilots, and other 501st Legion “Imperial”Costumes. NOTE: THERE WILL BE –NO- FORCE CHOKE OCCURRING THIS TIME… but the conductor would like Vader to make “some ‘grand gesture” TBD while on stage, before departing.

b. THRONE ROOM / END TITLE (Luke, Leia, Han Chewbacca, Rebels, Jedi, up to about 15 total)
• We’ve been asked to have Luke, Leia, Han, Chewie, Rebels, Jedi and other Rebel Legion Costumes involved onstage doing some type of activity resembling the Medal of Yavin ceremony at the end of A New Hope. (This is being coordinated by the RL Freedom Base Command Staff…) (and it sounds awesome!)

c. ENCORE: Cantina Band Theme (Both Groups) (up to 30 characters total onstage)
• We’ve been asked to have about 30 Characters (representative from both the 501st and RL groups) onstage for the finale to “celebrate” by dancing (tastefully) during the Cantina Band theme encore (the same as we have done in previous NSO appearances.) This is definitely one of the most fun parts of the performance for all!

>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>

*REHEARSAL*: (Details)
Although the actual concert does not begin until 8:15pm, the NSO has asked that we have as many members as possible attend the NSO’s rehearsal at 3:00PM, so that they (and we) can determine exactly what we will be doing in each of the on-stage pieces. That rehearsal is being held at approximately 3:00 PM that day (7/7/12) at Wolf Trap. Our onstage rehearsal portion will likely occur after the break at about 4:00PM, and the conductor will want to see as many of us as possible there (out of costume) to “block” what we will be doing.

PARKING: Parking is free at Wolf Trap. We will be given (only) 2 staff parking passes for the Filene Center “staff” parking lot (directly behind the Filene Center) for loading and unloading of bulky gear crates, wookie parts, etc. Please contact Jim 703-966-7609 as early as possible if your group needs one of these. (one of these needs to go to Scott for his Chewie costume)

DRESSING ROOMS / WATER : They have 2 LARGE dressing rooms reserved for us in he lower portion of the Filene Center, and are ready to accommodate our 40+ people. This area is Air Conditioned. Water and gatorade will be provided, and we can store our crates, etc. in those dressing rooms during the concert.

WEAPONS PROPS: Bring ‘Em / Holster ‘Em. The National ark Service Police have been informed that our members will have realistic looking blasters and lightsabers, etc. Lieutenant Christopher Stock has informed us that blasters and light sabers are permitted. However, the park police have requested that, if possible, blasters be holstered, --and NOT POINTED AT ANYONE-- particularly when children are present. The NSO has also asked that we go easy around children, so as not to scare them.

DIRECTIONS / PROGRAM and MAP LINK: is attached to this post below.

SQUIRES : Please be aware that squires will be working quite a bit at this event. The show is nearly sold out, including lawn tickets, and the daytime temperature will be near 100 degrees! During the meet-n greet period, Squires will need to stay close to their costumed character assignments, manage the crowds effectively, and get the characters and themselves back inside the air conditioning and re-hydrated (water, Gatorade, etc.) after only a short time out in the sun (max time out in the sun is 20-30 minutes, -or less-)

CAMERAS. Please bring them. We want to take good pictures of our participation in this event.

To star getting us fired up about this troop:

Here are a few cool webpages to view before Saturday:

1) Bio of our conductor, Steven Reineke:
http://www.peterthrom.com/artist.php?id=stevenreineke
In it, he nearly chokes up mentioning that his biggest influence was Maestro Erich Kunzel

2) A 360 degree virtual tour of the Filene Center from a few years ago...

3) Photos form 2009:

(note: there are many, many photos in this set!)

4)videos:
a) from Wolf Trap via Youtube:

b) a patrons view of the Encore Cantina piece:

DarthMiller's Complete Details Post on page 1 has been updated.

Please remember to only print this out tomorrow (Saturday) so as to have the most up to date information possible.

Also, start hydrating yourself NOW. Drink a sip or two of water every time you can... (remember hydration takes time!), up to 8 glasses of water today or more, if you are outdoors. If you wait until the troop tomorrow and try to drink lots all at once, you'll just go to the bathroom a lot, and won't be as well hydrated.

Please read through the excerpt below taken from the 501st Legion survival guide (field manual) about heat and hydration:

Hydration is Important

Make sure you have enough food and drink during the whole trooping time (as trooping is quite exhausting, especially for beginners). The nature of our costumes and trooping events can put a lot of stress on a trooper. Always make sure to take frequent breaks and stay well hydrated. You may not always feel thirsty when taking a break but you may still be getting dehydrated, so grab a quick drink whenever possible. The lack of breaks and proper hydration can lead to heat related illnesses even under mild conditions.
Heat Exhaustion and Heatstroke

Heat exhaustion: Heat Exhaustion is a condition whose symptoms may include heavy sweating and a rapid pulse, a result of your body overheating. It's one of three heat-related syndromes, with heat cramps being the mildest and heatstroke being the most severe.

Causes of heat exhaustion include exposure to high temperatures, particularly when combined with high humidity, and strenuous physical activity. Without prompt treatment, heat exhaustion can progress to heatstroke, a life-threatening condition. [1]

Signs and symptoms of heat exhaustion may come on suddenly or may develop after days of heat exposure. Possible heat exhaustion signs and symptoms include:

Cool, moist skin with goose bumps when in the heat
Heavy sweating
Faintness
Dizziness
Fatigue
Weak, rapid pulse
Low blood pressure upon standing
Muscle cramps
Nausea
Headache

Heatstroke: Heatstroke is a life-threatening condition that occurs when your body temperature reaches 104 F (40 C) or higher. Heatstroke can be brought on by high environmental temperatures, by strenuous physical activity or by other conditions that raise your body temperature.

Heatstroke is the escalation of two other heat-related health problems: heat cramps and heat exhaustion. In these conditions, you develop signs and symptoms that are milder than those of heatstroke. You can prevent heatstroke if you receive medical attention or take self-care steps as soon as you notice problems. [2]

Heatstroke symptoms include:

High body temperature. A body temperature of 104 F (40 C) or higher is the main sign of heatstroke.
Lack of sweating. In heatstroke brought on by hot weather, your skin will feel hot and dry to the touch. However, in heatstroke brought on by strenuous exercise (trooping), your skin usually feels moist.
Flushed skin. Your skin may turn red as your body temperature increases.
Rapid breathing. Your breathing may become rapid and shallow.
Racing heart rate and strong pulse (tachycardia).
Headache. You may experience a throbbing headache.
Neurological symptoms. You may have seizures, lose consciousness, hallucinate,
Difficulty speaking or understanding what others are saying.
Muscle cramps or weakness. Your muscles may feel tender or cramped in the early stages of heatstroke, but may later go rigid or limp.

Avoiding Heatstroke and Heat Exhaustion

Take Frequent Breaks

Stay Hydrated: Drink plenty of fluids before during and after a troop. Water and "sports drinks" are the most beneficial to help avoid dehydration. Alcohol and sodas should be avoided as they can actually aggravate your dehydration.

Listen: One of the symptoms of heatstroke mentioned above is a decrease in mental understanding. You may not be aware that you are developing symptoms of a heat illness. So, listen to your handlers, if a handler or fellow trooper tells you it's time to take a break do it.

Don't be a Hero: Even if your in a parade or other venue where there isn't an easy exit or place to get out of view of the public if you start experiencing symptoms of heat exhaustion or heat stroke get to the side, find shade, sit down if possible, get your bucket off, get a handler to help, find water, rest. It is much better to have you break character in public than to have you pass out in public.
