Event Time:EDITED 6/25 11:00am- 7:00pm (Wednesday July 1st is "Kids Day" with an earlier appearance time of 10:00am -7:00pm
If you are doing a morning or all day shift, please arrive by 10:00pm. The changing room can get crowded so you'll want to allow plenty of time to find your way to the exhibit hall and change so you can be ready by 11:00am

Expected number of attendees: lots and lots
Requested number of characters: not specified, but need enough members to have constant coverage of our exhibit (the TX-203 & X-wing) throughout the day, with members able to take shifts.
We can take two Jedi in one area per shift. Unlimited Soldier type costumes (this would be Rebel Fleet Trooper, Endor Trooper, X-wing Pilots, and clone troopers).
EU costumes and other face characters will have to be approved by event coordinators on an individual basis.
Handlers: no non-members or non-costumed handlers admitted (for free) --- so if you have family or friends who would like to come with you they need to pay to get into the fair.
Photographers: Yes, we are allowed one photographer at any given time. A RL member volunteering in costume for a portion of the day may change out of costume and act as photographer for another portion of their shift. (an example, 3 hours in costume, 2 hours as event photographer) They may not be a photographer while in costume. Conversely, they can not simply attend as a photographer and get a free pass if they are not wearing a costume for a portion of the day.
Blasters/weapons: Authorized. Lightsaber Hilts only. NO BLADES. (This is due to concern for safety of models/exhibits on display, and to help distinguish our group from random fans who could come into the fair with toy sabers).
Secure changing/staging area: Yes

Minimum shift requirement to qualify for free pass: 4 Hours . This can be broken up into increments with breaks. It does not have to be 4 hours straight on your feet Wink
Our Role in the exhibit: We are part of a sort of living exhibit recreating the Star Wars universe. Our costumes and characters are part of the presentation inside the exhibit hall and out the fairgrounds. As such, while we are on duty for a shift in costume we are to keep in mind bringing the illusion of Star Wars Characters to life and behave professionally as though we are theme park characters for the day. I've been instructed that we have a goal "of providing an enhanced experience to Fair guests (especially kids), in the most highly professional manner possible. We are there as entertainers first (although I'm sure we'll have fun doing it!) "
Costumes allowed when off duty? No, when you take a break and roam the fair (or go out to the food court for lunch) please change out of costume. However, costumes can be left on for short breaks in our break room.
Details: It's time once again for one of the Golden Gate Garrison's longest running and arguably best attended (by the public) annual events (spans 5 days) - and this year the Rebel Legion is being invited to participate! The Marin County Fair takes place from July 1 (Wednesday) through July 5 (Sunday). While the fair opens at 10:00 AM, we will be staffing an exhibit in the Creatures and Models Exhibit, which remains open to 7:30 or 8:00 PM (our participation is officially scheduled from noon until 7pm, although arriving earlier is ok).

RSVP Date: Wednesday, June 24th, 2009
- if people sign up after this and there is not enough time to mail out a free pass, the volunteer would have to pay to enter the fair. So our deadline date is to allow enough time for costume review and get passes mailed out to members.
Costumes Requested: Formal Level Rebel Legion costumes - the costumes worn as they are in the movies (no shades Cool ) Some EU and Clone Wars costumes should be OK, but will need to be reviewed on an individual basis. This event is open to all costume types, however, 'hard' & helmeted costumes are strongly preferred. With regard to Rebel Legion costumes, Rebel soldiers, X-wing pilots, and "hero" characters (provided the member bears a resemblance to the character they are portraying, Leia, Han Solo, Amidala, etc.), are strongly preferred. The Fair management prefers costumes that looked like they just stepped out of the movie: TK, Clone, TI, TB, TR, BH, etc., rather than 'face' characters. As such, there will be a limit for robed Jedi characters and Imperial Officers and Crew costumes at a given time.

Sign-Ups:
We are looking for a bit of a movie realistic balance between 501st and Rebel costumers.

    (including 501st costumes if you have them).
    - * E-mail (not PM - it's deleted too fast) Kay Dee your postal snail mail address. This is so we can mail you your parking pass for the fair. Also tell me if you are planning to drive or carpool.



I'll then submit the list of costumes and dates you are all available to Mike Morris to review and approve. If there are limits on Rebel Volunteers (especially the Jedi category), the order in which people sign up as 'confirmed' available will be taken into account. However, this does not mean that if a 5th Jedi signs up before a pilot that it will be all Jedi and the pilot is out. The pilot would be in because that costume has preference over Jedi.

I do believe our group is not so large that this can't be worked out to allow everyone to troop. If it means that people take turns with shifts to minimize an overabundance of Jedi then that's what we'll do. Trust me, time off to wander the fairgrounds and go on a few rides is fun! You'll enjoy being able to do shifts.

Fireworks in the evening: All of our volunteers are welcome to stay and watch the fireworks show in the evening. Since you will no longer be in costume, lightsabers with blades are OK to bring out. But we have been asked to please turn them off once the fireworks show begins. We have also been asked not to put on any mock demonstrations/duels. And obviously, just be careful and don't hit anyone with them.

Details from Mike Morris - event coordinator for the Golden Gate Garrison:


This year is especially significant, as it is the 20th anniversary of the Creatures and Models exhibit (which was originally started when ILM brought Star Wars and other movie props for display at the Fair.) This year We have been given extra floor space and latitude to expand our display and participation to commemorate the 20th anniversary.

As last year, the Central California Garrison is also invited to attend this event. This year, the Rebel Legion is being invited to participate as well. The idea is to create 2 "camps", Imperial and Rebel. They will be located in opposing corners of the display, and rather than simply stand side by side for photos, member of both camps are encouraged to stay in character and be 'wary' of each other.

As usual, the TX-203 tank is the center piece for the 'Imperial' display, and provided we have enough assistance for set up and tear down, the X-Wing Fighter nose section will serve as the center piece for the Rebel display. (We are also hoping for an R2-D2.)

Our Legacy at the Fair has always been as an Imperial presence, so preference for 501st members will be to always maintain a strong Imperial representation, allowing Rebel Legion members to make up the Rebel force. Since the 501st has many members that are also RL members, as long as circumstances permit and a balance can be maintained between the Imperials and Rebels, 501st members may do a 'stint' in one costume type (Imperial), and switch to the other (Rebel). No uncostumed handlers are required.

Blasters & prop weapons are authorized, however, not lightsabers with blades. Hilts only.

The Fair environment is a hybrid of sorts... it has the crowds of a Con, but with the atmosphere of a Theme park. Our large props (Tank, X-wing), special effect lighting, and sound, provides the perfect venue to create Star Wars 'magic' for the guests which are predominantly families with kids.

In addition to our usual 'guarding' of our base camps in the Creatures and Models exhibit, we've also been given permission to occasionally roam the Fair grounds (assuming we have sufficient numbers to continue to adequately man the camps as well.) Given enough participation from both the GGG and Rebel Legion members, would could 'patrol' the Fair grounds (obviously imperials and Rebels would be separate from one another), and should they cross paths, we could have fun .. perhaps Imperials arresting Rebels, and bringing them into 'custody'. Or maybe...even Rebels capturing an Imperial (although we know how unlikely that would ever be.)

Again, given it's the 20th Anniversary, we have been given very wide latitude to do something special. If anyone has other ideas in mind, please don't hesitate to post. Since all our plans must be known ahead of time, please relay any ideas you might have as soon as possible so they can be worked in. Note: Our excursions outside the Exhibit hall must be known in advance (since we are escorted outside by Fair security). Members are not permitted to roam freely outside our area without prior arrangement (purely for security reasons). We have always been an extremely popular attraction at the fair, with many kids (and parents) remarking how they come back each year mainly to see us.


For the purposes of deployment, we will be on site from 11:00 AM through 7:00 PM. Members are NOT required to remain for the entire period. Our goal is to have constant coverage of our exhibit (the TX-203 & X-wing) throughout the day, with members able to take shifts.


Free parking and entrance passes will be provided to all who attend 'in costume' (including the officially designated photographer). We have a large / secure utility room for changing and storing gear. The exhibit environment is a comfortable, air conditioned indoor exhibition hall. Food vouchers are provided for all costumed participants for use at selected food vendors at the fair. Water is provided as well.


This is a 'formal' event, meaning while in public view, members should remain in full costume (and refrain from removing buckets or walking around with flipped up visors.) Our dressing/break room is very close to the exhibit should the need arise to remove your helmet. And as we are trying to portray as realistic a presence as possible, members (both 501st and RL) are highly encouraged to remain in character, reacting to the sight of the "enemy", as the movie character would should you pass one another. (Really have fun with this!)


After your 'shift' or during breaks, you are free to roam and enjoy the fair. Most fair rides and attractions are free. (They usually have some pretty well known bands booked as well.) There are also nightly fireworks over the lagoon as an additional incentive to remain until the end of our appearance time, and hang out afterwards.

Typically, we are 'understaffed' on weekdays, and especially on the 4th of July. As an incentive, for those that attend on July 4th, additional entrance passes will be made available to bring your immediate family or friends. If your appearance during the week (July 1-3) is contingent on bringing a "SO" or other family member, a limited number of additional tickets may be made available to facilitate improved participation during the week. (Since we are provided with a set number of passes, additional pass availability may be 'subject to limitation'..as they say.)


Due to helping with the San Francisco firework show on the 4th, I (Mike Morris) am not able to attend the fair on that date, so there is a need for a Team Leader to take over on Saturday. Please indicate if you are interested.

When signing up, indicate which days you are available. Please consider attending on the 1, 2, 3rd and/or 4th... we really need extra folks for those days... especially a Darth Vader.

If we have multiple "hero" characters signing up for the same day(s) (Darth, Boba Fett, etc), we can work out a rotation schedule. If you have more than one costume, please feel free to bring them.

I would also highly recommend being present in costume for the "Ribbon cutting" ceremony (just prior to the Fair's official opening) on July 1st. This is "Kids Day" where all kids are admitted free of charge. As such, there are literally dozens of buses from Day camps, summer schools, with hundreds of kids present. Each year, we are asked to 'roam' the crowds outside the turn styles, providing entertainment for all the kids just prior to the Fair's grand opening. And I can tell you from experience.. you will feel like a rock star! If you like attention from kids, you'd be hard pressed to find another event with this level of enthusiasm for us.

Because entrance & parking passes must be mailed out at least 1 week in advance of the fair (they are not available on-site / day-of-event), please make an effort to confirm your availability as early as possible. If you miss the cut off, you may still attend, but your ability to gain entrance free of charge would not be certain.

Since we are provided with a limited number of entrance and parking passes, please be fairly certain about your attendance before confirming, since they must be sent to you in advance. (If you are sent passes and subsequently decline to attend, there could be a shortage of passes for others to attend in your place.) Although, even if you are tentative, please post just to provide an idea of the possible number of entrance & parking passes that must be acquired. Then when you are sure, post a "confirmed" message.

There is also a need for members to assist in set-up and break-down of the exhibit. Set-up date has yet to be determined, but will most likely be a week or so in advance, and tear down will probably be on July 6th or 7th. If you can help with either, please post or contact either Ian Hiebert or Mike Morris.

This is a somewhat complex event to coordinate, so please report any change as to your status or availability asap.

UPDATE - 5-9-09 FROM MIKE


Hi,

We just had another planning meeting with the Fair management, and this year is going to be markedly different (and better!) from previous years. Typically, the Creatures and Models Exhibit area was set up just as its name implied... an exhibit (very 'museum' like). While there was 'highlight' and accent lighting, the hall's florescent fixtures remained on. This year, the C&M area will be 'closed off' from the other exhibit areas, with the walls covered in 15' high black drapes, and the florescent lighting will be turned off. A computer controlled lighting & sound system which allows lighting effects to be 'choreographed' to sound and other effects (fog, lasers, etc) will be employed providing highly coordinated lights, music, and effect for our displays. There will be 2 distinct sound tracks: In the Imperial "camp", the music will be Empire oriented, with "trooper chatter' and 'tank operations' sound effects. The Rebel camp will likewise have 'Rebel' themes, and appropriate background sound efx.

With the ability to control the lighting and sound throughout the exhibit, the presentation this year will be much closer to a theme park attraction, rather than just an 'exhibit' with Star Wars characters. We can devise creative ways for Imperials and Rebels to interact in the environment as well, although space limitations do not permit something as ambitious as mock battles, etc. However, given sufficient participation (so the exhibit always has sufficient characters at both camps), we can also organize small Imperial and Rebel "patrols", which can roam the fairgrounds outside. There is great potential for some interesting Imperial / Rebel interaction as well... with perhaps some 'capture / detain' scenarios... or whatever other creative things the GGG can devise to entertain the fair visitors (ideas always welcome!)

OK, I was able to participate in the fair 2 years ago and it was a lot of fun! I'm not sure how many days (if any) I can be there this year. I usually go to my parents for the 4th of July so at best I can imagine maybe volunteering on the 1st.

Matt or Scott... since I'll be out of town do one of you think you can act as more of a team leader on this event for the days I'm gone? I'd like someone there in a leadership capacity representing the RL and there as support/coaching for our members. Or at least someone who is here in town that can keep an eye on questions that come up at the forums since I'll probably be camping (no computer, not even cell phone coverage!)

Woo, sounds like this would be a ton of fun! I hope to have a formal Rebel Pilot costume completed before July, so that would be one option; I'm also having a Darcienne Slave Leia costume made that would be ready in time, although I don't know how appropriate it might be (although it'd probably be weather-appropriate!). Contrary to the picture in my profile, I have brown hair now, so I'm closer to screen accurate than I was before.

The best times for me would actually be the weekdays in the early part of the day, like 12-4pm. I'll keep everyone updated when it gets closer to the RSVP date.

I have posted on the GGG/501st board for this. I am submitting a request to take a vacation day for July 1st. I had been approved for July 2nd and I have the 3rd & 4th off as my normal work days off. Unfortunately I have to work on Sunday July 5th. I usually attend the 4th of July Parade in Aptos with my Klingon group, but will be coming to the fair afterward. So for now I will be able to attend as follows:

July 1st - tentative
July 2nd - confirmed
July 3rd - confirmed
July 4th - confirmed after the Aptos Parade
July 5th - unable to attend

I will be wearing both Imperial & Rebel Legion costumes. I hope to have my New Hope Leia (with hair buns) finished and approved by then. So I would like to be put as tentative for that one.

This is a great time each year! I hope we can have fun again this year!!

Kathy, I just sent you an email on this.

First off this sounds like an awesome event, really cool that we were invited this year. I would be happy to pull some Team Leader duty but will totally defer to Matt if he has time due to his GGG membership. I also need to make sure we will be in town.

From the sounds of it Jessica and I will have a hard time meeting the costuming standards for this. Were are starting on new costumes, but nothing that will be done in time to help out here.

Dale and I were there twenty years ago, when LFL had lots of props and models on display at the fair, waiting outside in scorching heat for hours just to get in. But it was worth it!

Because its an all day event, its fun to go on the rides and play the games when we're on a break!

I could switch between TIE Pilot and Anakin for this. It would be nice to wear my Luke ROTJ though, only because of the fireworks each night - it would be like the end of the movie, except I'd need an Endor Leia to hug. Rolling Eyes

I wouldn't mind unless someone else would like to. I just can not be there first thing on the 4th and I won't be there at all on the 5th. I am not sure what the responsibilities are for a Team Lead in the RL either. But I can give it my best shot han shot first !

You know your Jedi costume could work too if you don't get the pilot costume done in time. But yeah, with the X-wing there they really would primarily like Pilots so if you can get it done that would be excellent.

Ah, Victoria mentioned she had a friend trying to get a hold of Darcienne and I wondered if it was you! Glad you got in touch with her, I got one response and then communication fell flat (long story, I'm literally in the middle of casting my own chain now, and searching for matching paint to repaint a used bikini of hers I bought. I'll never wear it for RL events though... this is just for fun so I have motivation to exercise and I'll only wear it at cons if I'm brave).

I'm not sure if Slave Leia will be allowed, it will be Mike and Ian's call. I'm going to have to just submit them a list of the confirmed volunteers, the days/times they are available, and the costumes they have to offer so we can work out a schedule.

Thanks Karen! I think we may need two roles for this event.

1) Event Coordinator/Liaison for Rebel Legion the week of the event -
I was kind of hoping that perhaps one person like Matt who has access to the 501st boards and all of the updates plus a leadership role in our club (Moderation powers to update the first post in this thread!) might be able to take over for me when I'm out of town and keep all of the info and communications up-to-date for the event between 501st & RL (last minute questions, changes, marching orders, reminders on codes of conduct - etc). Whomever this person is, I'd start CCing you on any communications I have with Ian and Mike regarding costume submissions, questions about the event, etc so you would be in the loop as the event progresses.

2) Daily Team Leaders We could assign a team leader for each day who is responsible for helping make sure that all RL members are situated and accounted for since many of them don't know the 501st members. This could either be Matt on the days he's there, Karen since she'll be there many days, or even Scott.

Well, a few Jedi will be allowed per shift. I just don't know how many at this time. I think Jessica's battle padme costume is great, but hair color is probably going to be the issue unfortunately. And I'm trying to find out if EU and Clone Wars costumes are OK since Jessica has Juno and the Snowbunny.

This sounds like a lot of fun and I hope to make it down one of the days. I'll know more as it gets closer. I could wear ANH Leia or jedi. I'm not sure that I'll have a pilot costume put together by then.

Yes, that was me! I did manage to get a hold of Darci long enough to pay her for it, so it's mine in theory! I, too, am getting it as a motivator to stay in shape, but I've wanted one for years and I just recently had the cash to get one. I'd be super-willing to wear it to RL events, but I know that due to the nature of the costume, it's not a costume that is requested for events often... hence the pilot outfit! Laughing I still have a lot of work to go on it, but I'd be awesome if I could get it done for this event. If not, like you said, I have my Jedi costume--which, BTW, I completely remade in time for the Allston signing that didn't end up happening. I need some new pictures of the new and improved costume, but I've got a custom hilt I'm waiting on before I get some new snaps.

Sorry, I feel like such a loser for having all of these costumes on the brink of being finished! I swear, this time next month I'll be able to submit several new costumes and my profile will have more variety! Again, I'll be sure to let everyone know for sure what dates I can attend before the RSVP date passes. It's looking like early Wednesday, Thursday, Friday and Sunday for me.
