Hello Endor Base members,

I've heard back from the coordinators for the Star Wars concerts taking place at HP Pavilion on Sunday. I've got a lot of updated info for all of you.

PHONE NUMBERS: Since this event is going to have a lot of last minute pieces to put into place (such as doors to meet at, if we are getting free parking) I should really have every volunteer's cell phone number in case I need to call you all with any last minute details. Please e-mail me your phone numbers or send me a text message (my number is in the Yahoo Group version of this message) with your name and screen name so that I can easily add your number to my phone (texting would be easiest for me actually).

Weapons:
Blasters and lightsabers are fine

Handlers:
They have asked if we have anyone who needs to enter the facility as a handler with the costume volunteers. Please let me know ASAP so I can get back to them on this and see who I can potentially add to the list as a handler. (I will be putting myself down as a handler for the 2:00 show because I think as one of the coordinators for the Rebel Legion I should at least be there to make sure everything is going OK. )

Everyone who has submitted a costume was approved! Some of you have the choice of wearing one of two costumes you were interested in. Please see the list below.

Here is an update on Arrival Times for volunteers:
Doors open for the 2:00pm show at 12:30. Arrival time 11:30 It has been suggested that we arrive 1 hour prior to doors opening to allow enough time to meet up with our coordinator, get into the facility, change and be ready for the crowds when they enter the arena.
Doors open for the 7:00pm show at 5:30. Arrival time 4:30

Passes to allow volunteers inside: There will be no physical passes to hand out. We all need to arrange to meet our SW in Concert Contacts (we are awaiting to find out which parking lot and entrance to use) and we will rely on them to escort us in.

Parking We are still waiting to find how parking will be handled. There is no guarantee yet they can cover our parking, but they are working on it for us. They may be pre-paying for a specific number of spots in a specified lot or paying for a limited number of parking spots for 501st & RL volunteers. I suggest everyone begin figuring out potential car pooling plans between RL members or fellow GGG members who are volunteering for the concert. We have up to 30 volunteers per show and it is highly unlikely they would pay for 30 individual parking spots per show.

Changing Room There is usually one large changing room. If women need some privacy, they can use the women's restroom.

Tickets for the show:
no word on this. We heard that in LA people were surprised and given seats for the show. I don't know what has been happening at other shows and this could be a venue by venue decision and out of the control of the concert promoters themselves.

Changing before the show starts:
We'll play this by ear the day of the event. We were originally told all volunteers need to dress down before watching the show. But word has it that in LA they relaxed on this and people in soft costumes didn't have to change. So, be prepared to have to change, but we'll see if they lighten up this restriction and give us a break. It was reported for the LA show, the people in costume who were given complimentary seats for the show simply exited about 5 minutes early so they could be in the lobby to greet guests when the show let out. So, the plans seem to evolve venue to venue and we ask that you all be flexible and await any last minute instructions we may get the day of the event.

What: Star Wars in Concert. There is also a full exhibit of props, costumes, and artwork traveling with the show. The exhibit will be in the lobbies and concourses of each venue.

Where: HP Pavillion, San Jose, CA

When: Sunday October 11th (2:00pm and 7:00 pm show)

Time: Ready for door opening at 1 pm (for 2 pm show), or 5:30 or 6 pm (for 7 pm show)[/b] Star Wars in Concert is a 2-hour program comprised of two 45-minute acts and a 30-minute intermission. Our venues will predominantly be closing at 11 pm.

Number of volunteers: 5-9 guaranteed to the Rebel Legion per show. 30 total between RL & 501st . Any unclaimed spots by the 501st will open up to the Rebel Legion. Any unclaimed spots by the RL will go to the 501st.

What we'll be doing? Providing photo ops and atmosphere in the costume and props exhibit area of the arena. Possibly with a few members stationed near the entrance to greet patrons. 501st and Rebel Legion participation is voluntary. Participants will interact with the concert audience, in character, throughout the exhibit prior to the concert event. Doors generally open 90 minutes prior to curtain and we expect our participants to be prepared and in costume by that time. There will be some Saturday and Sunday matinees where we may not open doors to the public until 60 minutes prior to show time. Nonetheless, we expect participants to arrive with enough time to be prepared 90 minutes prior to curtains. We also encourage participants to again interact with the audience, in character, after the concert. The audience will be taking their final walk through the exhibit as they exit and looking for last minute photo opportunities with costumed participants. We do not expect participants who have bought tickets to the show to interact with the audience on the concourse during the 30-minute intermission.

Costume types: Variety of formal level RL approved costumes. It has been requested that face characters resemble actors from the movie for this high profile event (when in question, I'm running face character submissions by the LCO.) Please note the high profile event costume requirements in our Rebel Legion Charter. We can allow for one of each face character type from each movie. (ie - an ANH Obi-Wan and an Ep II Obi-Wan are OK). All costumes and characters will need to go through final approval of the exhibits director of the SW concert and Mary Franklin. We've also been advised that "Characters recognizable by name and members of squads, such as Storm Troopers or Rebel Pilots, are always well received by the crowds. Don’t hesitate to send pictures of any droids you feel would make a good addition to the ranks. Do keep in mind that any droid that is small or low to the ground has a very high chance of being stepped on or tripped over. If this is the case, we will likely not approve its use throughout the exhibit, and must reserve any judgment regarding these until we see them on show night."

Please have any new costumes submitted to your profile by September 13th so there is adequate time for the Legion Costume Judges to approve it by our RSVP deadline.

R2-D2 has been requested to appear as well. - but his spot will be part of the 501st list. Any interested R2 builders can post here and we'll get you in touch with Ed DaSilva of the GGG.

Costume Guidelines
To avoid distraction from the show, participant’s costumes should not be worn in the concert arena, unless at the rear of the main floor or in the rear loges or balconies. We ask those who will be seeing the show to change into street clothes before entering the concert arena. We do not expect any participants who have bought tickets to interact with the audience on the concourse during the 30-minute intermission, as there is not enough time for participants to change into costume, interact with the audience, and change back into street clothes in that 30-minute time period. Participants should not be leaving the arena before the end of the first act in order to accomplish an intermission appearance. Those willing to change back into costume for an after show appearance are encouraged, and will be able to exit the arena for changing after the final montage of the second act.


Parking:
UPDATE FROM ED DASILVA:
We must pay for parking for our event.

The event director is looking into parking passes. Details to be announced, no gaurantee on free parking at this time. If parking passes are obtainable we have been advised "that you carpool to these events."

Secure Changing area: Yes, there will be a private and secure changing space/storage area. But the space is going to be limited as it has to be shared with the entire orchestra and the 501st. We've been asked to help ease any potential crowding in the changing area by arriving changed into costume if we can (for example if you are a Jedi or some other sort of costume that is easy to ride/drive a car in). We have also been told to " Please keep your personal possessions in a single bag." So please plan ahead and have a single bag to contain your change of clothes and personal belongings rather than multiple bags.

Arrival Time: A firm meet-up time is yet to be determined. They want us there early enough to allow us time to get ready and be on the exhibit floor by 1:00pm and 6:00pm. So a rough arrival time of 11:30 and 4:30 have been discussed for those who may need to share changing rooms.

Passes: As of this date, we are not being given tickets to see the show and you should make arrangements to purchase your own. We will however be issued passes that allow us early entry in the exhibit and back stage changing areas if we are a costume volunteer. Please don't abuse the early entry privilege. We are to arrive just early enough to have time to change and be ready by the time the doors open to the public. (The passes are not meant so that we can watch them set up in the morning and linger all day long.) Manner in which passes will be distributed is yet to be determined.

    Update 9/15/09 from concert promotions: "We will make every attempt to provide participants a space within the concert arena to watch the show. What must be kept in mind is that while we will do our best to supply you with an audience space or seat, this will simply not be true for all cities. Anybody wishing to see the show without a purchased ticket will not know if this accommodation will be available until the night of the show. It is also important to know that any spaces we can provide will not often be of the highest caliber. Those wishing for a guaranteed or quality seat are recommended to purchase a ticket ahead of time."


Bottom Line - we are still being told no free seats at all in San Jose.

SIGN UP PROCESS:


a) Please pick one primary show of choice. Then a secondary show if there are unclaimed spots you are happy to help fill for that second show. Since we are limited to a guarantee of 5 spots per show, I ask that members please list their one show time primary preference. Please leave the other performance open to fellow members who would like an opportunity to troop by not taking up slots for both the 2:00 and the 7:00 show. If you want to troop both show times, we can put you down as a back-up reserve for your secondary show of choice in case we have extra positions over the 5 we were allotted, or one of our original 5 volunteers falls off the list.

b) First to sign up in a unique formal level costume, first to get on the list. In order to insure we have a variety of RL costumes present (with only 5 spots) the first person to sign up with a unique costume (ie, not a second pilot, or a second generic Jedi) will be added to our primary list. Volunteers will be listed in order that they have signed up here in this forum. If a volunteer signs up with a costume that is already on the primary list, they will be on the back-up list in the order in which they have signed up. So the first extra spot to open up will go to the first back-up volunteer who signed up (provided their costume meets the high profile event specifications).

c) Please provide links to clear reference photos of your costumes(s) when you sign up. These photos will be reviewed by LFL and the SW concert exhibit director.

RSVP DEADLINE: Midnight, September 27th. If you have a new costume you are working on, be sure to submit it to your profile by September 13th so there is adequate time for the Legion Costume Judges to approve it by our RSVP deadline.

Can volunteers keep their costume on during the show? Yes, so long as you don't have a big headdress or helmet that would block the view of spectators behind you (if so, just remove that before the show and store it in the changing area).

Weapons/Lightsabers? So far they believe they should be OK. If for some reason the day of the event security has an issue with them we will be asked to stow them in our changing area. Each venue can have it's own security policy.

Donation to Charity? Yes - in appreciation of our volunteer time a joint donation will be made on behalf of the Rebel Legion and 501st to a charity of our choice.

Can we come in costume even if we are not a volunteer? Yes, it is expected that many fans who have purchased tickets to watch the concert will want to wear costumes. However, if you are a Rebel Legion member dressing in costume to watch the show it is important to abide by our code of conduct. Please remain professional. The general public as well as the people running the concert will not be able to differentiate between a 'volunteer' RL member and someone just there for fun. So if you attend in costume, keep in mind your behavior reflects on all of the Rebel Legion Smile



Also note that if you are not a formal volunteer, you simply won't have access to the private changing area, or early access before opening the doors to the public.

If you are there 'for fun' in costume for one show, but a volunteer for a later show, please keep the changing area and special entry/access free for the volunteers. I'm not sure if our passes will be specific to one show or the other on Sunday, so I have to ask for now that you only use your access pass for the specific show you are volunteering for.

EDIT - 9/15/09 - The concert promoters have asked all costume volunteers with tickets to the show to change into street clothes prior to entering the seating area to watch the show, unless their seats are at the back of their section. They feel that the costumes would be a distraction to the show, and would like us to wear street clothes. While the promoters can not dictate what a non-volunteer wears to the show, they have asked our members attending the show to please "be conscientious of other guests around them and try to avoid anything that would draw attention away from the show itself or distract those around them." So by all means, have fun in the lobby and exhibit area taking photos, but when you are watching the show I can only advise as members of the Rebel Legion that you please abide by the guidelines the promoters have for us. If you wear a costume, don't distract from the show by posing for photos in the audience while the show is going on. If you have a lightsaber, I'd think twice about turning it on and waving it around during the show if you are seated toward the front of your section.

The concert promoters are looking for costumed volunteers to mingle with guests, take photos, and be around the costumes and props exhibits that are being displayed.

They are looking for 20 volunteers. As of now, 15 of those spots are for the 501st, and 5 for RL.


This is what we know (so far):

Costumed volunteers will NOT be getting free tickets to the concert. They have to have tickets like everyone else. Even Mary Franklin will be buying a ticket.

Special passes will be provided for early costume access into the pavilion. A ticket will be required to sit, but if you want to troop and then depart we have this option. The passes will also grant us early access. This pass will also give us access to the changing room without need for an arena handler or security escort.

Doors open 1 hour before show time, so volunteers should plan to be ready and dressed one hour prior to each show time. If you are trooping right before the show you have purchased you can change down as needed in order to make it time for you to sit and watch. We are also encouraged to troop after the showing if possible for post concert photo ops.

If you are interested, please list what costume you want to wear, and post a link to a photo. We'll be taking submissions up until around the end of September.

Matt, I signed up to be in costume for the San Jose 2:00 PM showing on 10/11 (might as well secure the spot for the RL). If you get a big amount of interest from others to appear in costume than I'll bow out gracefully as I plan on meeting up with Joan and her husband and I think Kathy will be joining us too. And I'm not sure if they were planning on costuming for this concert. I don't know what the plans are yet, but will let you know as they evolve.

BTW, I have my ticket thanks to Joan. Very Happy

I had replied on the yahoo group about this, but didn't see my reply posted there. Did see your response directly to my email though. Not sure if we need to post to both or one or the other. So here it is again!!

Yes, I would like to help in costume. I would like to submit my Leia ANH for consideration. I will be able to do the Oct 11th 7pm showing and will also be getting tickets to see it.

I will need to check with my work first in order to help with the 2pm showing as well that day, since I am supposed to work until 3pm. If I can come into work earlier to get off earlier, then I may be able to help with both shows that day. I will let you know as soon as I can.

I replied earlier on the yahoo group, but per Matt's recent request I will repost here as well.

I'd like to volunteer for the event, and can work for either or both of the showings. I can offer either my Ceremonial Leia or generic Old Republic Jedi.

Matt,

I would also consider wearing my Amidala Red Senate outfit if they want. Though that one takes longer to get into and out of due to the makeup and hair.

I have tickets, but despite this being incredibly close for me, I think I'll just go plain clothes. Seems like there are a bunch of people that want in on this.

Sorry gang, Matt jumped the gun a tad on posting the event request. I've been in communication with the director of the touring exhibit for the concert for the past week and need to return a phone call she made to me to clarify some things. I'm sorry for any misunderstanding that may have lead to Matt posting this before I'd had a chance to call back our contact or speak with Base Command/Staff about how to roll out the volunteer request.

Please understand that we have been instructed to provide "a variety of costumes" for the performances. So this means our group of five or more needs to be diverse if possible. I want everyone to also understand that I've been told it's up to us (base command) to narrow down the list of costumes to the 5 open spots and just submit those costumes/volunteers for final approval by the tour director and Mary Franklin (they will not be picking our costumes out. Simply approving/signing off on our submissions.) This will be limited to formal costumes, and the other guidelines for high profile events listed in our charter will be in effect.


Please be sure to at least let me know which costumes and which showing you can volunteer for at HP Pavilon. We will take the order of responses into account, but if 3 Jedi responded first this may not mean that 3 Jedi are in. We should ideally be mixing this up with RFT, Royalty, Pilots, Creatures, etc as they have requested we provide a variety of costume types.

We will also be having sign ups for the Sacramento shows at ARCO arena (stay tuned - it is all in the works and once we get things arranged with Thayne as far as numbers go, and some more details from the tour director, we'll make a formal sign-up post), The Sacramento show will provide another opportunity for Endor Base members to troop.

All of that said, I look like I'm late to putting my name in the hat to troop since I didn't know this thread was started while I was still in talks with the concert promoters... I'm considering volunteering for the 7pm show at HP Pavilion. I've got tickets for the 2:00 show and would prefer to just enjoy that as a regular attendee Smile

I could probably wear Ceremonial Leia, x-wing pilot, Padme Family Gown, or Padme Senatorial. I have to check back at the 501st forum, but another idea depending on how full they are for the 7:00 show sign up is to just sign up as a TIE pilot and leave open spots for RL members who want them. I'll try to keep an eye on it.

Don, be sure to have Zach fill out his Rebel Legion profile submission. I'd have to cross check the charter, but I believe all costumes for high profile events have to be approved about 2 weeks in advance of the event date.

Same goes with Ackbar Smile

I'm not sure if we'll be able to have multiple RFTs since we are limited to 5 people per show (if GGG doesn't use all their spots we may be able to give some of those to RL... so far they are getting lots of sign-ups though).

Volunteer or not, I was going to go to this in costume regardless! As of now, I'm thinking Luke ROTJ for the 2 pm and maybe Anakin ROTS for the 7 pm (hopefully my hair will be long enough again):

Let me double check to make sure it's cool for RL members to show up in costume if they are not a volunteer. I wouldn't want it to get confusing for the people running the concert event to have non-volunteers running around in high quality costumes.

Trooperdad - I asked about the mouse droid. Betsy thought it sounded really fun, but due to worries about the location of the exhibit and all of the foot traffic that has to pass by the areas we will be stationed, she felt it would be safer not to bring the mouse droid. She'd hate for people to be rushing by and trip over him. If we had our own area for the exhibit out of the way of foot traffic it would have been OK. Thanks for offering it though!

I've got to revamp the sign-up instructions when I get home...

In the mean time I wanted everyone to know that R2-D2 has been invited as well and if an R2 owner wants to come out to the show with their droid the GGG has been nice enough to say that the R2 will take one of their 15 spots so as not to take any of the 5 RL positions away.
