Where: Arco Arena, Sacramento

When: Saturday, October 10th

Time: 3:00 pm (be dressed and on the floor at 2:00 pm)

Number of volunteers:
10 for Rebel Legion and 10 for 501st. Any unclaimed spots by the 501st will open up to the Rebel Legion. Any unclaimed spots by the RL will go to the 501st.

What we'll be doing? Providing photo ops and atmosphere in the costume and props exhibit area of the arena. Possibly with a few members stationed near the entrance to greet patrons.

Costume types: Variety of formal level RL approved costumes. It has been requested that face characters resemble actors from the movie for this high profile event (when in question, I'm running face character submissions by the LCO.) Please note the high profile event costume requirements in our Rebel Legion Charter. We can allow for one of each face character type from each movie. (ie - an ANH Obi-Wan and an Ep II Obi-Wan are OK). All costumes and characters will need to go through final approval of the exhibits director of the SW concert and Mary Franklin.

Please have any new costumes submitted to your profile by September 13th so there is adequate time for the Legion Costume Judges to approve it by our RSVP deadline.

Parking: The event director is looking into parking passes. Details to be announced, no guarantee on free parking at this time.

Secure Changing area:
Yes, there will be a private and secure changing space/storage area. But the space is going to be limited as it has to be shared with the entire orchestra and the 501st. We've been asked to help ease any potential crowding in the changing area by arriving changed into costume if we can (for example if you are a Jedi or some other sort of costume that is easy to ride/drive a car in). It's the armored folks who really need this space.

Arrival Time: A firm meet-up time is yet to be determined. Plan to be dressed and ready to go one hour before the concert starts. Allow enough time to arrive, get dressed (if you're not already) and get back stage passes. More info to follow.

Passes:
As of this date, we are not being given tickets to see the show and you should make arrangements to purchase your own. We will however be issued passes that allow us early entry in the exhibit and back stage changing areas if we are a costume volunteer. Please don't abuse the early entry privilege. We are to arrive just early enough to have time to change and be ready by the time the doors open to the public. (The passes are not meant so that we can watch them set up in the morning and linger all day long.) Manner in which passes will be distributed is yet to be determined.

SIGN UP PROCESS:

a) Please sign up in one or both threads and indicate which costume you would like to wear.

b) First to sign up in a formal level costume, first to get on the list. Volunteers will be listed in order that they have signed up here in this forum.

c) Please provide links to clear reference photos of your costumes(s) when you sign up. These photos will be reviewed by LFL and the SW concert exhibit director.

RSVP DEADLINE:
NEW EXTENSION - THEY CAN TAKE LAST MINUTE VOLUNTEERS. BUT POST YOUR COSTUME AND PHOTOS ASAP SO ARRANGEMENTS CAN BE MADE FOR PARKING. It would be best to contact Eugene (Dork Vader) directly as he has been in regular contact with the venue and is helping to make arrangements for the 501st.

(Old Deadline) Midnight, September 25th If you have a new costume you are working on, be sure to submit it to your profile by September 13th so there is adequate time for the Legion Costume Judges to approve it by our RSVP deadline.

Can volunteers keep their costume on during the show?
Yes, so long as you don't have a big headdress or helmet that would block the view of spectators behind you (if so, just remove that before the show and store it in the changing area).

Weapons/Lightsabers?
So far they believe they should be OK. If for some reason the day of the event security has an issue with them we will be asked to stow them in our changing area. Each venue can have it's own security policy.

Donation to Charity?
Yes - in appreciation of our volunteer time a joint donation will be made on behalf of the Rebel Legion and 501st to a charity of our choice.

Can we come in costume even if we are not a volunteer?
Yes, it is expected that many fans who have purchased tickets to watch the concert will want to wear costumes. However, if you are a Rebel Legion member dressing in costume to watch the show it is important to abide by our code of conduct. Please remain professional. The general public as well as the people running the concert will not be able to differentiate between a 'volunteer' RL member and someone just there for fun. So if you attend in costume, keep in mind your behavior reflects on all of the Rebel Legion Smile

Also note that if you are not a formal volunteer, you simply won't have access to the private changing area, or early access before opening the doors to the public.

Due to it being my sexy little fiance's special day, we got our tickets on Saturday after the meeting. We got really good seating I hope. We are in section: 101 row: K seats: 19 & 20 (aisle seats between 101 & 102 - about mid center of to the rightish). Still debating if I'm gonna go in costume or not, definitly "not" gonna volunteer(still recovering from SDCC & have the Land Beyond show in Sept.).

Hey Myke,

If you volunteer you'd have access to a back stage area for your costume stuff and potentially a deal on parking. I'd see the only down side of volunteering in costume as being that Kimmie wouldn't have a pass to go back there with you. Otherwise, I think volunteering is pretty easy if you were going to be in your costume anyway. But yeah, I guess you'd have more obligation to actually be hanging out in whatever area they stationed you to take photos with people and what not. So I can see just wanting to attend in costume and not have to worry about being in any one place at a given time.

We have some important updates regarding our participation in the concert!

Here are some highlights:

1) They have upped the volunteer count from 20 to 30 total, asking for 30% to be from the Rebel Legion. So we now have 9 potential spots for Rebel Legion volunteers!

2) If you are a volunteer but did not buy a ticket to the show, you may get lucky and still be able to watch the show. We won't know until the day of the concert, it sounds like they will try to give us leftover/unpurchased seats if they can arrange it with the venue. They have warned us they probably won't be the best seats in the venue if they are able to give us seats.

3) Costume Volunteers with tickets to see the show must change into street clothes before entering the seating arena, unless they happen to have seats at the back part of their seating section. The promoters feel our costumes will be a distraction to audience members, so we must change per their request and then change back into costume when the show is over.

If you are sitting in the back of your section and able to stay in costume, or you are not watching the show, they would like you to appear in the lobby area during intermission to mingle with guests. Otherwise, do not make an attempt to change into costume for intermission.

4) Advise for Non-Volunteers attending the show in costume: While nobody can dictate what you wear to the concert, please keep in mind that the preference of the concert promoters is to have us in street clothing (unless we are seated in the back of our particular seating section). So for those of you who plan to wear your costumes to the show as non-volunteers, please follow the wishes of the concert promoters as they have asked our members to "be conscientious of other guests around them and try to avoid anything that would draw attention away from the show itself or distract those around them." I would think this would include posing for photos during the show, or waving lightsabers during the show. Anything that would call attention to you and distract audience members sitting behind you.


5) We've been asked to bring and store all our belongings (costume, change of clothes, personal items) in a single bag. Yeah, that bag will be big for a lot of us (and for troopers, it will be a tub!), but please bring one big bag all your items will fit in, rather than several small bags.

Here is the list of updated guidelines we were sent:


    Dear Rebel Legion and 501st Garrison Participants,

    In trying to respond to all of the questions that have come to us regarding volunteer participation with Star Wars in Concert, we have created an outline that will make clear our expectations regarding your involvement and help you to better participate in our event. Although similar, the circumstances of which we execute the following may change from building to building.

    The Show
    Star Wars in Concert is a 2-hour program comprised of two 45-minute acts and a 30-minute intermission. The show will generally run from 7:30 pm to 9:30 pm with doors opening at 6 pm. Our venues will predominantly be closing at 11 pm. In some cities there will be a matinee, whether it is in conjunction with an evening show, or by itself. There is also a full exhibit of props, costumes, and artwork traveling with the show. The exhibit will be in the lobbies and concourses of each venue.

    Duties
    501st and Rebel Legion participation is voluntary. Participants will interact with the concert audience, in character, throughout the exhibit prior to the concert event. Doors generally open 90 minutes prior to curtain and we expect our participants to be prepared and in costume by that time. There will be some Saturday and Sunday matinees where we may not open doors to the public until 60 minutes prior to show time. Nonetheless, we expect participants to arrive with enough time to be prepared 90 minutes prior to curtains. We also encourage participants to again interact with the audience, in character, after the concert. The audience will be taking their final walk through the exhibit as they exit and looking for last minute photo opportunities with costumed participants. We do not expect participants who have bought tickets to the show to interact with the audience on the concourse during the 30-minute intermission.

    Costume Guidelines
    To avoid distraction from the show, participant’s costumes should not be worn in the concert arena, unless at the rear of the main floor or in the rear loges or balconies. We ask those who will be seeing the show to change into street clothes before entering the concert arena. We do not expect any participants who have bought tickets to interact with the audience on the concourse during the 30-minute intermission, as there is not enough time for participants to change into costume, interact with the audience, and change back into street clothes in that 30-minute time period. Participants should not be leaving the arena before the end of the first act in order to accomplish an intermission appearance. Those willing to change back into costume for an after show appearance are encouraged, and will be able to exit the arena for changing after the final montage of the second act.

    Costume Approval
    We would like to see a minimum and maximum combined total of 20 to 30 costumed characters at each event. This number should be approximately a 70/30% split. For example: Fourteen 501st participants and six Rebel Legion participants. This figure does not include handlers, as their numbers depend upon your judgment. For costumes, we are open to your opinions and excited to see your creativity. Characters recognizable by name and members of squads, such as Storm Troopers or Rebel Pilots, are always well received by the crowds. We ask that a picture of any costume being worn to this event by a participant be sent to us at least a week prior to the night of appearance. Don’t hesitate to send pictures of any droids you feel would make a good addition to the ranks. Do keep in mind that any droid that is small or low to the ground has a very high chance of being stepped on or tripped over. If this is the case, we will likely not approve its use throughout the exhibit, and must reserve any judgment regarding these until we see them on show night.

    Show Accommodations
    We will make every attempt to provide participants a space within the concert arena to watch the show. What must be kept in mind is that while we will do our best to supply you with an audience space or seat, this will simply not be true for all cities. Anybody wishing to see the show without a purchased ticket will not know if this accommodation will be available until the night of the show. It is also important to know that any spaces we can provide will not often be of the highest caliber. Those wishing for a guaranteed or quality seat are recommended to purchase a ticket ahead of time.

    Parking Passes
    Again, this is something we hope to provide you with, but is not guaranteed. The venues control parking and although we ask for provided parking, it is not a constant that you should rely on. We are steadfast in suggesting that you carpool to these events. As we find out answers to this question, we will pass the appropriate information along to you.

    Changing Room
    We will make every attempt to provide participants with an appropriate changing room and the appropriate security. Please keep you personal possessions in a single bag.

    Non-Volunteers attending in Costume:

    I am sure that there will be several folks not affiliated with either group showing up in costumes for the show. I don't know that we can really dictate what folks wear who are not volunteering for us that evening but what you could do is make a suggestion that those attending and not volunteering be conscientious of other guests around them and try to avoid anything that would draw attention away from the show itself or distract those around them.
